Posting Number: 02559 Department: Admin Services Job Summary/Basic Function: Provide excellent customer service while assisting departments, students, and vendors with account information and accounting procedures.
Review and process for payment or accrual purchase orders and requisitions, invoice vouchers, approval routing, unemployment taxes, and sales & use tax remittance in accordance with the policies and procedures of Everett Community College, State Board for Community and Technical Colleges, Office of Financial Management, and generally accepted accounting principles.
Identify and resolve discrepancies in records or documents including researching records and making necessary adjustments to vendor accounts or accounting records.
Track and process vendor credit memos.
Communicate issues and resolutions to college departments and vendors as needed.
Verify fiscal reports for accuracy.
Using purchasing and accounting software, investigate and correct entries, budget codes, or documents prepared by others to ensure the accuracy of information and compliance with established policies and procedures.
Analyze, prepare, review and enter journal vouchers.
Release check batches.
Update vendor information (address, names, etc.
) and payment methods according to vendor documentation with Logistics Operations in the supplier table.
Maintain, review, complete, issue, and file 1099s, Leasehold Tax returns, Report of Unclaimed Property, and other returns as required by Federal and State agencies.
Compile and interpret information of a specialized nature to prepare reports for management.
Review automated reports for accuracy.
Sort and file records, reports, copies of checks issued, and other accounting documents.
Cancel and reissue checks as necessary.
Assist in the accounting year-end close process by coordinating with purchasing to close out all open purchase orders and liquidate all outstanding encumbrances.
Establish deadlines for vendor payments, manage the auto accrual process and prepare journal vouchers as needed to record expenses in the proper fiscal year.
Provide input on internal controls and protection of college assets.
Train and coach A/P functions.
Monitor and review work as part of new employees' training process.
Minimum Qualifications: Associates degree which includes 18 quarter or 12 semester hours in accounting or an equivalent combination of experience.
Intermediate to advanced level skills in Microsoft Office Suite, including Access, Word and Excel Two or three years of experience in the accounts payable function in a complex environment Experience working in a diverse culture Experience providing excellent customer service to internal and external customers Excellent verbal and written communication skills Experience researching and successfully resolving accounts payable issues Experience working independently with minimal supervision Knowledge of sales and use tax Preferred Qualifications: Experience working with Washington State Community Colleges financial system.
Knowledge of Peoplesoft software is highly desirable.
